Job Purpose

The Receptionist is accountable for welcoming of students, parents and visitors on a walk-in basis as well as directing of calls as relevant. Provides information as relevant and assists with sales or administration related activities. Oversees the housekeeping of the campus ground floor as well as bookings for board rooms. 

Education (Formal Qualification Required)

Minimum: NQF Level 5 Qualification – Higher Certificate in Office Administration

Advantageous

NQF Level 6 Qualification – Diploma in Office Administration

Experience (Minimum Experience Required – Number of years)

Receptionist experience: 2 – 3 Years

Advantageous

Experience working with public or external parties :1 Year

Switchboard experience :1 Year

Position Description

Reception Function

  1. Welcome and direct students, parents and visitors
  2. Provide information as relevant
  3. Receive and distribute deliveries
  4. Coordinate the booking and tracking of couriers
  5. Receive payments via the campus speed point
  6. Visitors are directed to the correct locations
  7. Packages are distributed correctly
  8. Couriers are booked timeously

Switchboard Management

  1. Receive and direct calls to the relevant department
  2. Take and distribute messages
  3. Follow up on call backs
  4. Coordinate busy times on the switchboard to manage influx of calls
  5. Provide support and information to students or callers where relevant
  6. Calls are answered timeously
  7. Calls are correctly directed
  8. Messages are delivered and call backs are made
  9. Information provided is correct

Sales and Administration Duties

  1. Book boardrooms
  2. Arrange for visitors’ refreshments
  3. Check and review RSVPs for sales related meetings or activities
  4. Compile and submit RSVPS for functions to Sales Manager
  5. Update bookings report
  6. Provide support for sales and campus related administration such as database maintenance, capturing of data, ad hoc administration etc.
  7. Correct booking and allocation of boardroom and report is up to date
  8. Refreshments are ordered and delivered timeously
  9. Administration duties are completed timeously

Housekeeping 

  1. Check the cleanliness of the ground floor
  2. Check work to cleaners are required
  3. Inspect bathrooms and kitchen to ensure that all supplies are available and clean
  4. Check that stock availability of refreshments for the campus
  5. Place orders for kitchen and refreshment stock
  6. Receive and check delivery of stock
  7. Facilities are clean and the cleaning schedule is adhered to
  8. Stock levels are replenished

 Salary:

Market related.
